1 Prioritize and delegate tasks
One of the most common administrative challenges is managing multiple tasks and deadlines. To avoid feeling overwhelmed or missing important details, you need to prioritize and delegate tasks according to their urgency, complexity, and impact. Use a calendar, a to-do list, or a project management tool to keep track of your tasks and assign them to the right people. Communicate clearly with your team and stakeholders about the expectations, deadlines, and progress of each task.

2 Streamline and automate processes
Another administrative challenge is dealing with inefficient or outdated processes that waste time and resources. To streamline and automate processes, you need to identify and eliminate unnecessary steps, redundancies, or errors. Use technology, such as software, apps, or online platforms, to simplify and speed up tasks, such as data entry, invoicing, reporting, or scheduling. Document and update your processes regularly and train your staff on how to use them.

Automation is the key to efficiency and productivity in administrative tasks. If you want to advance in your career and organization, you need to leverage technology and automation to save time & energy. Imagine spending half an hour every day writing and reading emails to your team members about their tasks and progress. That's a lot of wasted time that could be used for more strategic and creative work.Instead of doing this manually, you can use AI tools from Google/Microsoft to automate this process. You can also use AI to analyze data, identify trends, and make better decisions. By using automation and AI, you can focus on improving the quality and impact of your output, rather than on the mundane and repetitive aspects of your work.

Success will depend on how well systems and processes are communicated to staff. Policies, processes and standard operating procedures must be understood by staff and widely known to be effective. New employees would benefit from robust on-boarding that includes training on systems and processes while a solid change management plan is critical to secure buy-in and compliance by existing staff. Organizations can come up with new systems and processes, but would be inefficient if they are not known by staff or put into practice.

There are many ways you can undertake lifelong learning. If you require flexibility, consider computer-based learning opportunities. On the other hand, if you would like to learn from other participants and to grow your network within your field, explore in-person or hybrid programs. It is important to do your own research given the number of institutions that offer courses. Are accreditations important in your field? Who are the past participants and the instructors? What is the reputation of the institution or program?

When starting new projects, ensure everyone is clear on the objectives and deadlines even if you have worked together previously. Identify milestones and establish a process to track and review delivery against them. An example is to hold regular huddles where you check in on progress, celebrate success and review areas where corrections may be required. Encourage open dialogue and provide the opportunity for everyone to share their knowledge and insights. If you are working with a multi-disciplinary team, ensure you avoid using technical jargons to promote common understanding of the work being done and the issues. Create an environment where people are comfortable to ask questions and seek clarifications.
